Unit management, online rentals, smart access control, dynamic pricing, and automated billing. Built around how your facility actually operates.
A self-storage facility runs on a cycle of enquiry, rental, payment, and move-out. A customer finds you online or walks in. They choose a unit size. You create a rental agreement, take payment, issue access credentials, and then collect monthly rent until they leave. A proper management system handles every one of those steps, and the records need to connect to each other.
At minimum, self-storage software needs to handle:
More advanced systems also handle dynamic pricing based on occupancy and demand, automated rate increases for existing tenants, insurance upsells during checkout, multi-site management with consolidated reporting, and lead tracking from initial enquiry through to rental conversion.
Operating costs for UK self-storage facilities are rising. Business rates, energy costs, staffing, and insurance have all increased significantly since 2022. For independent operators running one to three sites, staff costs are often the single largest line item after the property itself.
The result is a push towards unmanned or lightly staffed facilities. Stora reports that operators using its platform grew 32% on average in 2024, compared to 6% across the wider industry. That growth is partly driven by the ability to rent units online around the clock without staff involvement.
This is not about replacing people. It is about removing the manual steps that do not need a human: taking card details over the phone, printing contracts, walking tenants to their unit, manually programming gate codes. When those steps are automated, your staff spend their time on higher-value work: site maintenance, customer queries that actually need a person, and growing the business.
The challenge for independent operators is that the software enabling this automation is sold on a subscription model. You pay monthly, indefinitely, for the tools that reduce your other costs. Over time, the software subscription replaces the staff cost it was supposed to eliminate.
Most self-storage management software in the UK is subscription-based. You pay monthly, indefinitely, for software you will never own. The costs look manageable on a monthly invoice, but they compound over time.
A storage operator paying £200 per month for software spends:
And at the end of those ten years, you own nothing. If you stop paying, you lose access. In many cases, you lose access to your own tenant data, contract history, and financial records too. You are renting a tool and paying the full cost of ownership many times over.
On Stora's Premium plan at £299 per month, the five-year cost is £17,940. On Stora's Advanced plan at £149 per month, it is £8,940. Add payment processing fees on every transaction, and the real cost is higher still. These are real, recurring costs that most storage operators accept as unavoidable. They are not.
The UK self-storage software market has a mix of UK-built platforms and international products with UK presence. Here is an honest comparison of what is available, what each one costs, and where each one fits.

These are all competent products built by companies that understand the storage industry. The issue is not quality. The issue is the model. Every one of them charges you monthly for the life of your business. They own the software. You rent it.
Every storage facility works slightly differently. A single-site container yard with 80 units in a rural area operates nothing like a purpose-built multi-floor facility with 500 units, climate control, and 24-hour access in a city centre. A business storage operator with forklift access and pallet racking has completely different requirements from a consumer storage site with drive-up units.
Off-the-shelf software is designed for the average facility. If your facility is average, it works fine. Most are not average.
What typically happens: you adopt the software, discover it does not quite match your workflow, and start building workarounds. A spreadsheet for tracking vehicle storage because the system only handles fixed units. A separate calendar for managing viewings because the booking system assumes fully unmanned operation. A manual process for corporate accounts with purchase order requirements because the billing module only handles consumer tenants.
The other problem is integration constraints. Stora integrates with Noke, PTI, Paxton, and BearBox for access control. If your site uses a different access system, or if you have a legacy gate controller that predates the smart lock era, you are stuck with manual access management regardless of what the software can do. Off-the-shelf platforms only connect to the hardware partners they have chosen to support.
There is also the question of pricing models. Stora's dynamic pricing works on Stora's rules. If you want pricing logic that accounts for unit location within the building (ground floor premium, upper floor discount), or seasonal patterns specific to your area, or corporate rate cards that differ from consumer pricing, you are limited to whatever the vendor has built into their system. You cannot modify their pricing engine. You can only request a feature and hope it makes their roadmap.
A bespoke system starts with your facility. Not a product demo. Not a feature list. Your actual daily workflow, from the first online enquiry through to move-out, final invoice, and unit turnover.
We sit down with you and map exactly how your storage operation runs. Then we build a system that matches it precisely. The result is software where every screen, every form, and every report reflects how your staff actually work.
Every system starts with your specific requirements. Here are examples of what your system could include:

ESRE builds self-storage management systems for a one-off cost. No monthly subscription. No per-unit fees. No price increases. You pay once and you own the system.
The management platform is the biggest line item, but it rarely covers everything. For a single-site operator with 150 to 300 units, the monthly spend across tools commonly looks something like this.
| System | Typical Monthly Cost | Examples |
|---|---|---|
| Storage management platform | £99 to £299 | Stora (£99-299), Storeganise (from ~£80), SiteLink/Kinnovis (quote-based) |
| Payment processing fees | £50 to £200 | Stripe, GoCardless (percentage of monthly rental income) |
| Accounting | £25 to £45 | Xero, QuickBooks, Sage |
| SMS and email marketing | £20 to £60 | Mailchimp, SMS reminder services |
| Website and lead capture | £30 to £80 | Separate website hosting, SEO tools, lead forms |
| Total monthly cost | £224 to £684 | |
| Five-year total | £13,440 to £41,040 |
On top of these subscription costs, many operators still run a spreadsheet for tracking corporate accounts, a separate system for vehicle or caravan storage, and a manual process for access code management because the platform does not handle those workflows properly.
| System Scope | Typical One-Off Cost | Replaces |
|---|---|---|
| Core: unit management, online rental, billing, tenant portal, occupancy dashboard | £8,000 to £15,000 | Management platform subscription + website + accounting workarounds |
| Full: above plus access control integration, dynamic pricing, automated communications, insurance upsells | £15,000 to £30,000 | Management platform + payment tools + marketing subscriptions |
| Multi-site: full system across 2 to 5 facilities with central management dashboard | £25,000 to £55,000 | Per-site subscriptions multiplied across locations |
An operator paying £350 per month across tools spends £21,000 over five years and owns nothing. A bespoke system at £18,000 pays for itself in under three years, replaces every subscription and the spreadsheets, and belongs to the operator permanently.
Every system we build, the client owns all the code. There is no vendor lock-in. No proprietary platform you depend on. No API that gets deprecated when the vendor decides to change direction.
Your tenant data, contract history, billing records, and access logs live on infrastructure you control. If you want to switch hosting providers, you can. If you want to add a feature, you can. If ESRE disappeared tomorrow, your software would keep running.
What we build is not one screen. It is a connected data architecture from which multiple applications emerge. Tenant and unit data is entered once and appears wherever it is needed.
All of these surfaces draw from the same data. A unit rented online is immediately reflected on the facility map, in the billing system, and in the access control configuration. A tenant who gives notice triggers the unit to be flagged for cleaning, the access credentials to be scheduled for revocation, and the unit to reappear as available on the date of move-out.
We train you and your team to evolve the system using AI. Since December 2025, AI tools have reached the maturity to work reliably alongside people for maintaining and extending systems. We set up your AI to understand your specific codebase, with failsafe environments, version control, and automated backups.
Because the data architecture already exists, adding new functionality is straightforward. Want to add vehicle and caravan storage with different pricing rules? It connects to the same tenant and billing data that already exists. Need a module for packing supplies sales that was not in the original build? It slots into the same system. The initial build creates the foundation. Everything after that is incremental, and much of it can be done in-house with the tools we provide.

Stora, SiteLink, and Storeganise all charge a monthly subscription. A bespoke storage management system for your facility, owned outright, no renewals.
Integrates with whatever access control you have: Noke, PTI, Paxton, BearBox, or legacy gate systems. Not limited to a vendor's partner list.
Tenant record, contract, billing history, access log, and communication timeline in one place. No jumping between three systems to answer one tenant's question.
Dynamic pricing rules you define. Occupancy-based adjustments, seasonal patterns, corporate rate cards, long-stay discounts. Your commercial strategy, not a vendor's algorithm.
Switching systems is the part most storage operators dread. Years of tenant records, contract data, billing history, and unit configurations sitting in a platform you are trying to leave. The off-the-shelf vendors know this. It is one of the reasons lock-in works so well.
We handle data migration as a standard part of every build. We extract your existing data from whatever system you are currently using, clean it, restructure it, and import it into your new system. Tenant records, unit details, active contracts, billing history, and access configurations. Nothing gets left behind.
If your current provider makes export difficult, we work around it. We have migrated data from spreadsheets, legacy databases, and proprietary platforms that were never designed to let data out. The goal is always a clean transition with zero data loss and no gap in billing or access control.
Subscription-based self-storage software in the UK typically costs £80 to £299 per month. Stora ranges from £99 to £299 per month. Storeganise starts from around £80 per month. Kinnovis and SiteLink do not publish pricing. A bespoke system from ESRE Media costs a one-off fee based on your requirements, with no ongoing subscription.
At minimum: unit management with interactive facility maps, online rental and move-in, automated billing and payment collection, tenant communication and overdue reminders, occupancy tracking and reporting, and access control integration. More advanced systems include dynamic pricing based on occupancy, automated price increases for existing tenants, smart lock integration, insurance upsells at checkout, and multi-site management dashboards.
Yes. Your system can integrate with smart access control hardware including Noke, PTI, Paxton, and BearBox. When a tenant rents a unit online, the system can automatically assign access credentials, grant gate and unit access, and revoke access when a tenant moves out or falls behind on payments.
A core self-storage management system typically takes six to ten weeks from first conversation to live deployment. More complex systems with access control integration, dynamic pricing, multi-site management, and data migration from existing platforms take ten to sixteen weeks.
Yes. We handle data migration as a standard part of every build. Tenant records, unit configurations, billing history, and contract data are extracted from your current platform, cleaned, and imported into the new system. Nothing gets left behind.
We are always available for support, changes, and enhancements. But because you own the code and we train your AI to understand it, you are not dependent on us for day-to-day changes. That is the point.
Your system is cloud-hosted on secure UK-based servers. Your data belongs to you. Every change is recorded in real time to a write-ahead log (WAL), so nothing is ever lost. You can also back up locally on a schedule for additional peace of mind.
