The nursery software market has consolidated into a handful of established players and a wave of newer entrants. Famly is the most polished. Connect Childcare has the biggest UK installed base. Tapestry is the strongest on EYFS observations. But none of them handle everything equally well, and the pricing models vary enormously. This is an independent comparison based on published pricing, verified reviews, and UK-specific requirements including EYFS, funded hours, and Ofsted compliance.

The pricing question: per child vs flat rate

Before comparing features, the pricing model matters more than the headline number. Nursery software broadly uses two models, and the difference has a real impact on your costs as your setting grows.

Per-child pricing (Tapestry, Blossom Educational, some configurations of Connect Childcare) charges £2 to £5 per child per month. For a 40-place nursery at £3 per child, that is £120 per month. For a 90-place nursery, it is £270 per month. Your software bill scales directly with occupancy, which means filling more places costs you more.

Flat-rate pricing (Famly, Nursery in a Box) charges a fixed monthly fee regardless of how many children you care for. Famly's three tiers (£94.80, £178.80, £238.80 per month) include all children on one site. Nursery in a Box starts from £59 per month with no per-child charges. For larger settings, flat-rate pricing is significantly cheaper.

The maths for a 60-place nursery over 5 years: At £3 per child per month (per-child model): £180/month, £10,800 over five years. At Famly's mid-tier (flat rate): £178.80/month, £10,728 over five years. Similar at 60 places. But at 90 places, per-child costs £270/month (£16,200 over five years) while Famly stays at £178.80 (£10,728). The gap grows with every additional child.

Platform-by-platform comparison

Famly

Danish company with a strong UK presence. Famly consistently tops independent comparison lists for interface quality and feature completeness. The platform covers EYFS observations with photo and video, parent communication with a dedicated app, invoicing with in-app payments (even on the cheapest plan), attendance tracking, staff management, and occupancy planning.

Three tiers: £94.80/month (observations, parent app, basic invoicing, in-app payments), £178.80/month (adds curriculum builder, medication forms, occupancy reports, staff leave tracking), £238.80/month (adds full staff rotas and scheduling). All tiers are per-setting with no per-child charges.

Strengths: The best interface in the market. In-app payments on every tier (most competitors charge extra for this). Comprehensive feature set that genuinely covers the full nursery workflow. Strong parent app.

Weaknesses: The most expensive option at the top tier. Danish company, so while UK support exists, the product was not originally built for the UK market. Some settings report that the EYFS tracking, while good, is less deep than Tapestry's observation-specific tools.

Connect Childcare

UK company with the largest installed base: over 3,400 settings. Connect covers EYFS, invoicing, parent portal, funding management, and reporting. The platform has been in the market for years and has a deep feature set built up over time.

Pricing: From £94.80/month (limited to 20 children on the basic tier), with higher tiers at £178.80 and £238.80.

Strengths: Large UK user base with proven stability. Funded hours management is well-established. Comprehensive feature set built over many years.

Weaknesses: The interface is the most consistent criticism. Multiple reviewers describe it as feeling "ten years old," with clunky navigation and an outdated look. The software is described as very slow in user reviews. The exit terms are punitive: 12 months notice is required to leave. For a nursery that discovers the system does not fit after signing up, this is a significant lock-in.

12 months notice to leave Connect Childcare. This is worth repeating because it catches people. If you sign up to Connect Childcare and decide after six months that it is not working for your setting, you must give a full year's notice before you can leave. That means continuing to pay for and use a system you want to replace for up to 18 months from the point you decide to switch. Check the contract terms carefully before committing.

Tapestry

UK-built platform that began as a dedicated EYFS observation and learning journal tool. Tapestry has since expanded into broader nursery management, but observations remain its strongest feature. The platform is widely used in schools as well as nurseries.

Pricing: Per-child pricing (contact for current rates). Generally considered more affordable than Famly, particularly for smaller settings.

Strengths: The best EYFS observation tools in the market. Deep integration with the EYFS framework, with observations linked to development areas, characteristics of effective learning, and next steps. Strong among practitioners who prioritise learning journals and developmental tracking. Well-established in the UK with a large user community.

Weaknesses: Tapestry was not originally built as a nursery management platform. It expanded from observations into invoicing, attendance, and parent communication, but these areas are not as mature as the core observation functionality. Some users report that the management features feel bolted on rather than integrated. Per-child pricing penalises growth.

Blossom Educational

UK company offering digital learning journals with integrated nursery management. Blossom covers observations linked to EYFS, a parent app, attendance tracking, staff rotas, and invoicing with funding claims.

Pricing: Per-child pricing (contact for current rates).

Strengths: Good balance between observation tools and management features. The learning journal is well-designed with photo and video support. UK-built with EYFS deeply embedded.

Weaknesses: Smaller installed base than Famly, Connect, or Tapestry, which means fewer community resources and potentially less resilience as a long-term vendor choice. Feature depth in invoicing and funding management is less than the larger platforms.

Nursery in a Box

UK company focused specifically on invoicing, funding management, and financial operations. Automated reconciliation for 15/30 hour entitlements, registers, and daily diaries are included.

Pricing: From £59/month (flat rate, no per-child charges). The cheapest flat-rate option in this comparison.

Strengths: The strongest funded hours management of any platform. Automated splitting of funded and private hours on invoices. Integration with registers and attendance data. Flat-rate pricing with no per-child charges. If your primary pain point is invoicing and funding reconciliation, this is the specialist tool.

Weaknesses: Not a full nursery management platform. EYFS observations are not the focus. Parent communication features are more limited than Famly or Tapestry. If you need a complete system covering observations, parent app, and management alongside invoicing, you may end up running Nursery in a Box alongside another tool.

UK company specialising in nursery finance and occupancy. Bulk allocation of funded hours, tracking of LA rates including deprivation and EYPP, and detailed financial reporting.

Strengths: The deepest financial management and occupancy forecasting tools. Bulk funded hours allocation is a time saver for larger settings. Tracks multiple funding streams with LA-specific rates.

Weaknesses: Finance and occupancy specialist, not a full nursery management platform. You will need a separate tool for EYFS observations, parent communication, and daily operations.

The structural gap in this market

Every platform in this comparison excels at one or two things and handles the rest adequately or poorly. Famly has the best interface but the highest price. Tapestry has the best EYFS tools but weaker management features. Nursery in a Box has the best invoicing but limited observations. Connect has the biggest user base but the worst interface and the worst exit terms.

The structural gap is that no single platform handles EYFS observations, funded hours reconciliation, parent communication, staff management, and Ofsted-ready reporting equally well at a price that works for all setting sizes. Nursery managers end up choosing their primary pain point (observations? invoicing? parent communication?) and accepting compromises elsewhere.
